EA Recruitment have been instructed by our client, an independent estate agency based in South West London to recruit an experienced Office Administrator to join their team.
An office administrator in an estate agency manages day-to-day office operations, which includes client communication, scheduling, and maintaining databases. They are also responsible for preparing legal and marketing documents, handling inquiries, and providing administrative support to the sales and lettings teams to ensure the smooth running of the business.

Key responsibilities
Client and team support: Answer phones, greet visitors, respond to emails, and handle general inquiries.
Administrative tasks: Manage office supplies, file documents, and handle incoming and outgoing mail. Day to day running of the office.
Database and document management: Maintain the property and client database, upload listings to online portals, and prepare marketing materials like property details.
Sales and lettings support: Schedule viewings and appointments, assist with preparing tenancy agreements and other legal documents, and manage the flow of information between sales and lettings teams. Property research and doing property valuations reports with property comparables. To complete viewings when needed if required.
Financial administration: Process invoices and other financial documents.
PA to Director: Daily diary management, focusing on his weekly appointments
Marketing: Organising and running of all marketing material from putting property brochures together, Magazine adverts, website updates, social media updates.
Local events weekend – Attend occasional local events such as school fairs and arrange the marketing around that.
Compliance – To run and manage all the office compliance and the AML on the sales front.

Skills and qualifications
• Experience working within estate agency administration
• Strong communication and interpersonal skills
• Excellent organisational and time management skills to handle multiple tasks simultaneously.
• Proficiency with computers and common office software, including property management software.
• Attention to detail for accuracy in documentation and data entry.
• Experience in estate agency or a similar administrative role is often preferred.
• Reapit knowledge
• Excellent IT skills – Spreadsheet use with future pipelines on sales and lettings
• ARLA qualified
• Smartly dressed and well presented

Package/benefits:
• £35k - £38k salary pa.
• Working hours: Monday to Friday 9.00am – 6.00pm
• 28 days holidays including bank holidays
