ESTATE AGENCY OFFICE CO-ORDINATOR JOB DESCRIPTION

Entry level experience/qualifications

  • At least 1 years office management/co-ordinator experience - not necessarily in Estate Agency
  • A strong administration background – with knowledge of Microsoft office
  • Experience working in a busy fast paced environment

Responsibilities
  • Meeting and greeting clients
  • Dealing with all incoming mail and distributing post to the correct departments
  • General office administration
  • Voicemails and emails distributing
  • Diary management for the whole office including Directors and Negotiators
  • Taking payments for rent and deposits
  • Dealing with all telephone, email and face to face queries
  • Ensuring that the office meets all health and safety procedures/requirements
  • Responsible for stock control and orders
  • Manage the key system
  • Typing important letters and documents
  • Maintaining accurate filling system
  • Training of new reception/secretarial staff

Objective

This is the most important role in the office. You will be the first point of contact when anyone phones or comes to your office. You will be the face and voice of the organisation so it's important your personality reflects a friendly, approachable and most importantly professional company.
The role is crucial to the smooth running of the company and incorporates many different duties. Your responsibilities will include management of the office facilities and running the front of office, whilst providing excellent customer service to clients. Other duties will include assisting all departments with general administration duties including answering telephone enquiries, filing and postal duties. This role is extremely varied and challenging and it is essential that you must possess excellent organisational skills, and be flexible and adaptable in your approach.

Salary/bonus details
  • Basic salaries vary dependent on the company you are with and what experience you have so they can range from £18 - £35k
  • Bonuses are rewarded if targets are met and these tend to be paid quarterly or annually
